Parts inventory
TLDR
All parts we sell should already be in inventory.
- Go to Inventory, do a parts search
- Choose part from search results
- Adjust Category, Price, Vendor, Tag (location) and quantity.
If part cannot be found in search, you add it manually.
Adding parts to the system:
All parts need to be added into the system so that they can be added to workorders or sold. It is possible to just sell a part using the generic Parts button, but that will not allow you to track items or do proper inventory counts.
Always start with an item search:
Most parts are already in the system so just start with a search. When you find what you want, you just need to edit the Quantity on Hand and Location.
If you cannot find the part, then you have to use the + Add button.
Search
FAST SEARCH: Just use a partial number for quick results, you will usually find what you want in the results. Mercury parts are particularly finicky with the blank spaces and hyphens so partial number searches are easiest. For example, see screenshot below. I searched for 35-877. I did not need the 710 in front, just the part that is going to be unique to the part.

- Tags (if you keep stock)

To adjust quantity, you need to click on the sidebar link for Inventory and use the Add Inventory form at the top-right.
Put in the quantity you are adding to inventory and press the button. This will add a line item to the Inventory Details. If you make a mistake or need to manually adjust the quantity on hand, you can use the Inventory details section.
If you cannot find the part
If you cannot find the part with a search, you have to add it manually.
- From the Inventory page, press + Add button
- Add the details
Mandatory details
- Description: must include the OEM part number and the description of the part
- Quantity
- UPC: You add this using the scanner on the bar code
- Manufact. SKU, just put the OEM part number in this field
- Tags: If you stock the part, add the location
- Pricing for Retail
- Cost price
- Vendor Important for doing inventory
Press save and you can now sell the part.
NOTES:
- You can find a part just by its name. For example, if you are looking for a transom kit, go to Parts Search and enter "Transom Kit". You will see all the parts with "Transom" and "Kit" in the name. You will see the quantity and know that you have it in stock. This is very handy for finding things that you know you have somewhere. Try a few different key words, you will be amazed.
- You can also see all sales history of parts. You can see who you sold them to as well.
- If you special order a part for someone, make sure you add that customer to the system and sell the part to him. This way when he calls to see if it is in, you can find the part he ordered and investigate.
